Position Summary

The Academics Coordinator provides comprehensive administrative and operational support to the Dean of Academics at Leech Lake Tribal College. This role is responsible for coordinating day-to-day academic office functions, facilitating communication, organizing meetings and events, preparing documents, and supporting academic personnel. The position requires strong organizational skills, attention to detail, professionalism, and a high degree of discretion, as the Coordinator will regularly work with confidential and sensitive information.

Qualifications

Minimum Requirements:

  • Bachelor’s degree in any field.
  • Strong written and verbal communication skills.
  • Demonstrated proficiency with computers and common applications (Microsoft Office suite, Google Workspace, calendaring tools, etc.).
  • Ability to maintain a high level of discretion, confidentiality, and professionalism.
  • Strong organizational and time-management skills; ability to manage multiple tasks efficiently.
  • Ability to work collaboratively with faculty, staff, students, and administrators.
  • Attention to detail in both clerical and complex administrative tasks.
  • Preferred Qualifications
  • Experience in higher education, tribal colleges and universities (TCUs), or administrative office settings.
  • Experience coordinating events or managing multifaceted schedules.
  • Familiarity with budget tracking or office financial processes.

Essential Responsibilities

Administrative Support

  • Manage, coordinate, and maintain the Dean’s schedule, including meetings, appointments, and travel.
  • Receive, screen, and relay messages, ensuring timely communication to the Dean and academic personnel.
  • Prepare, organize, and maintain digital and physical files, records, and notes.
  • Draft, edit, and format correspondence, reports, meeting minutes, proposals, and other documents.
  • Establish, distribute, and track meeting agendas; prepare materials and handouts as needed.
  • Assist with internal communication between academic departments and administrative units.

Event and Activity Coordination

  • Coordinate academic events, workshops, and meetings, including logistics, space reservation, materials, and communication.
  • Work collaboratively with the Kitchen Coordinator or other campus services as needed for event support.
  • Prepare printed materials, signage, packets, and other event resources.

Operational and Budget Support

  • Prepare requisitions, purchase orders, supply requests, and related documentation.
  • Track basic budget information for the Academics division under the direction of the Dean.
  • Assist in assembling proposals, reports, and grant-related documents as needed.

Technology and Office Support

  • Ensure effective use of computer applications, including word processing, spreadsheets, presentations, and communication platforms.
  • Maintain familiarity with college systems, databases, and software relevant to academic operations.
  • Troubleshoot minor technology and equipment issues or coordinate support as needed.

Work Environment

  • Primarily office-based with frequent interaction across academic departments.
  • Requires handling confidential or sensitive information in compliance with College policies, FERPA, and data privacy standards.
  • Occasional lifting of materials (e.g., printed packets, event supplies).
