The Enrollment Services Specialist is the primary in-person point of contact for student services, assisting prospective, current, returning, and graduating students, as well as alumni. This role provides accurate information on admissions, financial aid, registration, and graduation while supporting Enrollment Services through document collection, data entry, and record management. The ideal candidate is a self-motivated, customer-oriented professional with strong communication and organizational skills. They should demonstrate professionalism, cultural competence, and a commitment to inclusive communities, particularly Indigenous populations.
Major Duties and Responsibilities:
· Serve as the initial contact for enrollment service inquiries via in-person, phone, email, and mail communication.
· Provide accurate information, forms, and referrals to students regarding admissions, financial aid, and academic programs.
· Assist in collecting, maintaining, and recording enrollment-related documents.
· Act as a liaison between students and the Enrollment Services team.
· Maintain and update bulletin boards, brochures, and website information related to enrollment services.
· Offer general academic advising and direct students to appropriate department advisors.
· Conduct direct mail, phone, and email outreach to prospective students.
· Participate in meetings, conferences, and workshops to stay informed on enrollment policies and procedures.
· Collaborate with faculty, counselors, and student services staff to maintain up-to-date knowledge of college programs and requirements.
· Support the admissions office with mail processing and data entry.
· Assist the registrar’s office with course registration and schedule adjustments.
· Perform additional enrollment and student affairs tasks as needed.
Minimum Qualifications:
· 1-year college credential, (Associate’s degree preferred), in communications, social work, education, business, public relations, or a related field, or 4-years’ experience working in an office setting.
· Strong verbal and written communication skills.
· Excellent organizational and time management skills.
· Ability to handle high-stress situations and work effectively with distressed individuals.
· Strong problem-solving, multitasking, and critical-thinking abilities in a fast-paced environment.
· Demonstrated professionalism, positive attitude, and enthusiasm for student services.
· Proficiency in data entry, record-keeping, and reporting using computer systems preferred.
· Ability to establish and maintain relationships with diverse communities, especially Montana Tribes and other Native groups in the U.S.
· Flexibility to work non-traditional hours, including evenings and weekends as needed.
· Customer service experience required.
