POSITION BRIEF

California Indian Nations College (CINC) announces the position of Academic Advisor. This position is student focused and provides holistic and proactive 1:1 advising of students, offering student support from the admissions process throughout their program and even follow-up support for graduates/alumni. The Academic Advisor assists students in developing degree plans that meet their long-term goals, advises the Registrar and Academic staff about student course needs, and serves as a primary point of contact for students.

POSITION OVERVIEW

The Academic Advisor will provide primary advising for both degree- seeking and non-degree-seeking undergraduate students and concurrent enrollment students for the College. The individual holding the position will assist students with a full range of support, including orientation, academic program planning, course selection, registration, internship coordination, transfer to a four-year institution, and career planning. The advisor monitors student progress and suggests and implements corrective actions when students encounter academic difficulties. The advisor is a source of information for prospective students and supports the College recruitment events.

 

The Advisor works with student information systems and various data files and sources and prepares a wide variety of reports using multiple databases and spreadsheets. The advisor keeps abreast of College policies and procedures, and rules and regulations to assist students in meeting academic requirements.

 

The Advisor is part of the Path Breakers Program and will provide advising and programmatic support for the program.

 

Because of the intensive advising and personalized support, the aim for the advising load is 50:1, though it may be up to 100:1 depending upon staffing resources.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

·        Advise and monitor progress of CINC students, conduct degree audits, maintain accurate records, and ensure progress toward graduation in a timely fashion

·        Advise and register first-time and returning students, both walk-in and by appointment

·        Provide academic advising to distance learners via phone and online

·        Interpret testing results relevant to placement decisions

·        Audit, monitor, and evaluate individual student academic progress

·        Create college completion and graduate plans

·        Assist all students, individually or in groups, with developing, maintaining, and adjusting academic, career and personal goals and plans; support students with SEL needs and support colleagues with SEL professional development

·        Document student advising sessions in Populi

·        Educate students about course planning and registration processes both individually and in groups

·        Assist with course registration and scheduling

·        Assist with new and returning student orientation

·        Help students select a college major

 

·        Maintain up-to-date knowledge about the College's programs and requirements; consult with contacts at various transfer institutions regarding course program transferability, admission, and graduation requirements

·        Make appropriate referrals to campus resources for students perceived as at-risk

·        Create and manage databases and spreadsheets that support the operations of the office as well as generate necessary reports

·        Accurately and appropriately interpret student data

·        Initiate student contact, providing intrusive advising whenever possible

·        Respond appropriately and in a timely fashion to student requests for academic advice via telephone and email and through personal appointments

·        Assist with a bi-annual program audit to review the success of the advising program

·        Assist with workshops or classes for students to support them with post-secondary success (e.g., time management, stress management, etc.), transfer to four-year institutions, and career success skills.

·        Represent the College at off-site location advising sessions

·        Communicate academic policies to students clearly and equitably

·        Support student needs in the summer and during breaks throughout the calendar year

·        Sit on the Student Early Alert System Committee

·        Support major College events, such as Commencement, and student-related workshops

·        Follow up on complaints, questions, and concerns, responding to internal/external potential or current student needs in a friendly, timely, and efficient manner

·        Participate in College-wide initiatives and/or committees

·        Attend professional development trainings

·        Submit regular reports (weekly, quarterly, annual)

·        Maintain files and records, ensuring compliance with FERPA standards

·        Plan and provide high-level, complex administrative support and perform technical office duties

·        Maintain a positive, upbeat manner; promoting and exemplifying College values and representing college objectives and interests to staff, students, faculty, and potential students

·        Ensure compliance with College standards, policies, and procedures, including the creation and review of Advising policies and procedures and the Advising Handbook

·        Work variable schedule as needed, including evenings and/or weekends as well as off-site locations

·        Other duties as assigned

MINIMUM QUALIFICATIONS

Long-term employment is contingent upon successful completion of a 180-day probationary period.

Education and/or Experience

·        Bachelor's Degree required; advanced degree preferred

·        One year experience working with college students in an advising/student affairs capacity

·        Knowledge of Microsoft Office, including Microsoft Teams

·        Comfortable initiating contact with students and actively following up with them

·        Ability to establish priorities, organize, schedule, and complete tasks independently

·        Ability to assist the college in promoting a welcoming environment for Indigenous people and positive relationships between the college and Indigenous communities served

·        Ability to work evenings and/or weekends as required

 

Preferred Qualifications

·        Graduate degree preferred, preferably in education, academic counseling, or a related field

·        Three years’ experience in academic advising/counseling

·        Experience with Tribal Colleges or Native American student programs

·        Knowledge of the educational landscape of Southern California as it related to Native Americans
