Job Summary:
In the role of Administrative Assistant in the Institute of Technology Department, the candidate will provide administrative support to the Director and Faculty Members, ensuring smooth operations and effective communication.
Duties & Responsibilities:
Ø Filing
Ø Answering the phone for IOT Department
Ø Organize, maintain and update student databases for department/grant
Ø Assist with preparing and processing student applications for department/grant
Ø Assist with processing student timesheets hours for department/grant
Ø Assisting IOT students with stipend applications: online forms and in-person forms
Ø Assist IOT faculty and Director with preparing office documents
Ø Attend regular required meetings: department and SGU meetings, trainings, and workshops
Ø Keeping ongoing digital and paper records for grant and department documents.
Ø Update student files, as needed and requested by Faculty and Director/Dept. Chair
Ø Prepare and submit timesheets for IOT staff and faculty
Ø Assist in preparing for semester registrations
Ø Keep ongoing documentation of all IOT inventory
Ø Prepare and submit building maintenance request
Ø Prepare and submit cleaning service request
Ø Other duties as assigned by Director/Dept. Chair
Qualifications & Experience:
Must have an Associate degree in Office Technology or AA Business degree
Must have 5 + years of office work experience
Good customer service skills
Must have advanced knowledge and experience using Microsoft applications (Excel, Access, Word)
Knowledge to navigate the use to Microsoft outlook email
Must have skills and knowledge of using the computer and laptops
Excellent organizational and communication skills
Self-starter and be a team player
Must be willing to learn new technology/software, as needed
