Job Description



The American Indian College Fund (College Fund) strives to positively impact the lives of Native Americans by supporting their higher education and career objectives.  College Fund team members believe education is the answer and collectively we raise funds, provide scholarships, and holistically support students in achieving their goals.  Programming, research, and enhancing the capacities of tribal colleges and universities (TCUs) are also integral elements of our mission.


Headquartered in Denver, Colorado, the College Fund currently employs over 75 team members.  Our operations include student success services, TCU capacity building, research and evaluation, and public awareness.  We annually serve over 4,000 students and 35 TCUs across the United States. The role of this position is to provide professional and efficient management of visitors, telephone calls and messages, as well as a variety of administrative duties that support the American Indian College Fund (the College Fund).


The Front Desk and Accounting Coordinator is often the first point of contact for the general public, potential donors, and students.  As such, it is imperative that this position represent the College Fund in a professional and helpful manner, requiring strong general knowledge of our operations. 


When at the front desk this position is responsible for incoming phone and general email inquiries and welcoming visitors to the College Fund and maintaining knowledge of team members work schedules and locations.  This position will support the processing of incoming mail and packages and will be a back-up to other front desk administration functions. 


The Front Desk and Accounting Coordinator implements key elements of accounts payable processing including collecting payment requests and following-up on missing information, entering payables into accounting system, coordinating check signers and ensuring appropriate and organized back-up is available for their review, and mailing payments and appropriate supporting documentation.  This position also supports the College Fund’s revenue accounting by creating daily receipt logs and electronically filing revenue back-up documentation.  This position will also support paper and electronic filing of accounting documents. 


The Front Desk and Accounting Coordinator will also provide administrative support to the Human Resources Department.  This position will also support other seasonal and as needed projects.


This position will share front desk administration with another position to ensure consistent coverage of the front desk and allow for time away from the front desk to conduct other responsibilities. 


Essential Job Functions


  1. Front Desk Administration
    1. Receives and directs telephone calls and visitors.
    2. Ensures knowledge of staff whereabouts and maintains accurate and complete information for the Daily Schedule.
    3. Manages the incoming College Fund general email and voicemail messages.
    4. Takes phone donations and enters them into the online system.
    5. Supports internal control process for opening mail.
    6. Ensures packages are logged and secured.
    7. Provides back-up for other front desk administration as needed.


  1. Processes funds received at the office
    1. Accurately compiles information for Receipts/Deposit Log and uploads report and backup documentation to Intranet
    2. Accurately prepares and sends bank deposit summaries to Accounting


  1. Implements key elements of the accounts payable process
    1. Collects payment requests
    2. Reviews request and follows up on missing documentation
    3. Enters approved check requests into financial system
    4. Creates and updates vendor files in financial system
    5. Coordinates documentation for check signer review
    6. Coordinates check signer process
    7. Mails payments with appropriate documentation


  1. General Support
    1. Files paper and electronic accounting documents
    2. Provides administrative support for Human Resources Department
    3. Support College Fund seasonal and as needed projects and activities

Experience and Education

  • One year of front desk or accounting experience, may include work study or internships
  • High school diploma or GED


Preferred Experience and Education

  • Experience working with Native American or Alaskan Native peoples
  • Experience working in a not-for-profit
  • Accounts payable experience
  • Associate degree


Work Environment and Physical Activities

  • Ability to lift 15-20 pounds
  • Ability to use a computer for long periods is essential
