The Executive Assistant will provide direct administrative support to the Colorado Executive Director and support for the Colorado Philanthropy Team to advance major and principal gift fundraising efforts.
The Executive Assistant will be responsible for a variety of administrative support tasks, which include domestic and international travel arrangements, calendar management, answering phones and emails, drafting correspondence, processing expenses, and scheduling and coordinating logistics of meetings and special events. They will learn and become proficient in the Conservancy’s systems including the CRM (Customer Relationship Management) program used by the Conservancy’s Philanthropy programs. They will manage the Conservancy’s donor acknowledgement process to thank donors for contributions. They will partner with other staff to ensure Executive Director is prepared for meetings and events by providing briefing and background materials. They will implement processes and practices in order to improve effectiveness. The Executive Assistant will coordinate activities across multiple teams, setting realistic deadlines and managing the timeline. They will communicate on behalf of the Executive Director with staff in various programs across the Conservancy; as well as with donors, trustees, vendors, partners and other business associates. They will effectively communicate or distribute information to assist staff in making decisions, solving problems, and improving workflow. They will apply principles of confidentiality and discretion for all sensitive matters. They will perform other administrative functions, as required.
