The American Indian College Fund (College Fund) strives to positively impact the lives of American Indians by supporting their higher education and career objectives.  College Fund team members believe education is the answer and collectively we raise funds, provide scholarships, and holistically support students in achieving their goals.  Programming, research, and enhancing the capacities of tribal colleges and universities are also integral elements of our mission.

 

The Program Assistant will join the College Success and Access team in Student Success Services to provide administrative and program support to all college readiness programs including high school college readiness and transfer programs, scholarship coaching programs and the Cultivating Native Student Success program. The Program Assistant is a qualified, detailed-oriented, fast-paced team member who is mission and value driven. Ideally, the Program Assistant will draw upon experiences working in an educational or non-profit organization, preferably in a field related to high school completion, or post-secondary education, contributing to informed-program coordination and program goal-oriented administrative tasks.

 

Essential Job Functions

  • Assists in planning and implementation of program related presentations, events and materials such as workshop sessions, convenings, and trainings
  • Review, edit, format, and disseminate internal and external communications
  • Support program reporting
  • Facilitate data collection from grantees
  • Support the development and maintenance of program templates
  • Manage program files and records
  • Manage program supplies and collateral materials inventory
  • Make travel arrangements for program team members, students, and grantees
  • Coordinate and facilitate internal and external meeting logistics
  • Prepare check requests and ensure appropriate dissemination of payments
  • Work with the program officers and communications team to maintain social media and web presence
  • Occasionally represents the College Success team members on site visits, trainings, and workshop sessions
  • Support front desk coverage
  • Other duties, as assigned

  • Ability to develop and enhance program and professional relationships
  • Demonstrated initiative and creativity
  • Ability to prioritize and manage numerous tasks and/or projects

  • Ability to work responsively to change
  • Ability to work collaboratively within and across departments as well as with external partners
  • Knowledge of budget management, review, and reconciliation
  • Experience processing payment requests
  • Background Check and Valid driver’s license required

 

Education/ Experience

  • Required Qualification: High School Diploma or GED.
  • 2 years of experience as an administrative assistant, or in a similar role with similar responsibilities.
  • Experience with social media outlets
  • Experience in working with underrepresented populations
  • Experience in event planning

 

Preferred Qualifications

  • Bachelor’s Degree, in Education or related field
  • 3 or more years administrative support experience
  • Experience working in an education setting
  • Experience working with tribal colleges and/or American Indian students and families
  • Experience conducting basic research on program effectiveness, families, and students
  • Experience in providing transcription (notes, meetings, interviews)
