The Grant Specialist will manage all financial aspects of Grants for the Victims of Crime Resource Center and McGeorge Community Legal Services Clinic. Responsibilities include preparing budgets, preparing grant billing, reconciliation of general ledger accounts associated with McGeorge grants, assisting in audits of grants and assisting the aforementioned programs with grant RFP/RFAs. This position will also provide administrative support to the VCRC as needed.
1. Assist Victims of Crime Resource Center and McGeorge Community Legal Services Clinic with all grant RFA/RFPs as well as facilitate the submittal to the University’s Sponsored Programs Office prior to submittal to the agency.
2. Determine appropriate financial charges that are allocable to the various sponsored projects.
3. Assume responsibility for preparation, accuracy and timeliness of all reports and billing on various sponsored project.
4. Prepare account reconciliations, journal entries and payroll redistributions for all sponsored projects.
5. Provide the Victims of Crime Resource Center and McGeorge Community Legal Services Clinic with monthly reports to assist in spending down of sponsored funds.
6. Identify budget issues with sponsored programs and work with program directors to process budget modifications as necessary.
7. Assist VCRC with financial transactions, maintains contact with VCRC vendors, process accounts payable and/or reimbursements, and ensure transactions are allowable within the sponsored project.
8. Reconcile and process Pro-Card purchases for VCRC department operations.
9. Coordinate and implement logistics for VCRC events as assigned. Arrange for facilities and technical support, serve as primary contact to various departments as needed, and coordinate guest travel as needed.
10. Resolve routine and complex problems with minimal consultation; handle multiple assignments and prioritizes in a constantly changing work environment; recognize and improve administrative and operational processes as needed.
11. Perform other duties as assigned
Five plus years of experience working with budgets, accounting, or financial reporting. Strong verbal, written, organizational, and interpersonal skills required.
• Ability to maintain rules of confidentiality and perform detailed work with accuracy and efficiency. Work effectively under deadlines. Perform independent research in carrying out administrative duties. Handle multiple project assignments and determine proper course of action to meet deadlines. Develop and establish relationships at all levels and in cross-cultural environments. Willingness to demonstrate diplomacy, tact, and innate sense of customer service.
• Computer Skills & Technical Skills:
Advanced skills in MS Outlook, Word, Word Perfect, Excel and PowerPoint. Experience with database management and internet research.

• Work Environment/Work Week/Travel:
This is a non-exempt position which will require occasional evening and weekend hours to complete tasks. Regular scheduled hours will be Monday through Friday, 40 hrs. a week. Valid driver’s license required. Incumbent must also be able to meet the University’s fleet rules and be eligible to drive for University business. The University’s insurance carrier reserves the right to exclude applicants based on their driving record.
